Terms of Service

Plain-English terms for Yorkshire Digital services.

These terms explain how managed websites, Instabook, lead-to-job systems, hosting, payment workflows and support are normally provided. A written proposal or client agreement may add more specific details.

Summary

The short version.

Starter Website

£299 setup, then £49/month. This includes a one-page website, domain, hosting, email alias, enquiry forwarding and basic support.

Lead-to-Job System

£700 setup, then £99/month. This includes the website, enquiry capture, dashboard, quotes, invoices, deposit/payment workflows, hosting, maintenance and support.

Instabook

30 days free, then £12/month. This includes the managed online booking experience, hosting and reasonable support. A wider custom marketing website is quoted separately.

Spread setup option

£159/month for 12 months, then £99/month. This is the same Lead-to-Job System with the setup cost spread over the first year.

Agreement length

The £700 setup Lead-to-Job System is rolling monthly with no fixed contract. The spread setup option has a 12-month minimum term, then continues monthly. Instabook renews monthly after its 30-day trial and can be cancelled through its billing portal.

Planning and structure

Initial planning, service/page structure, enquiry journey, package positioning and the practical setup needed before build work starts.

Website build

A professional mobile-friendly website, core pages, contact routes, enquiry forms and launch checks.

System setup

Dashboard setup, enquiry capture, customer records, pipeline stages, quote workflows, invoice workflows, email workflows and basic account configuration.

Payments setup

Payment workflows can be connected for deposits and balances where the client has, or creates, a suitable payment provider account.

Launch SEO foundations

Page titles, meta descriptions, sitemap setup, indexing checks and basic search setup are included at launch.

Handover

Short handover support so the client understands how to view enquiries, manage jobs, create invoices and use the system.

Monthly service

What the monthly fee covers.

Managed hosting

Website hosting, SSL, routine uptime monitoring, backups and maintenance checks are handled so the site stays live, secure and looked after.

System care

Dashboard updates, system maintenance, bug fixes, reasonable email support and monthly health checks are included.

Instabook service

Instabook hosting, booking-system maintenance, reasonable support and ongoing product updates are included while the monthly service remains active.

Small website updates

One minor website content amendment per month is included. Larger changes, new pages, new features or redesign work are quoted separately.

Website care

If you no longer need the dashboard.

Website-only care plan

If a Lead-to-Job customer no longer needs the dashboard, they can move to a website-only care plan from £59/month so hosting, domain and support can continue.

Ownership discussion

Yorkshire Digital manages and retains ownership of the website and domain as part of the managed service. If a client wants to leave and take ownership, this can be discussed separately.

Data export

Customer and enquiry data can be exported as part of offboarding, subject to any outstanding balances, security checks and agreed handover work.

Scope

What is not included unless agreed separately.

Some work needs a separate quote.

That keeps the monthly packages clear and avoids vague promises.

  • Custom software features outside the normal lead-to-job workflow.
  • Unlimited website changes, unlimited new pages or full redesigns.
  • Paid ads, social-media management, professional photography, branding or logo design.
  • Monthly long-form blog writing, link-building campaigns or guaranteed rankings.
  • Third-party subscriptions, premium domains, Stripe fees or external software charges.

Payments and domains

Third-party services and charges.

Stripe payments

Stripe can be used for deposits and balances. Stripe transaction fees are charged separately by Stripe and are not included in Yorkshire Digital package prices.

Domains

If you already own a domain, it can be connected as part of the launch work. New domains, premium domains and unusual renewal costs are confirmed before purchase.

External accounts

Where possible, clients should own their own payment, domain, Google and business accounts. Third-party provider terms also apply.

Client responsibilities

What clients need to provide.

Accurate information

Clients are responsible for providing accurate business details, prices, service wording, cancellation rules, legal wording and customer-facing policies.

Content and access

Clients should provide logos, images, service details, domain access, payment provider access and Google access where needed for the project.

Checking before launch

Clients should review the website, forms, invoices, emails and booking workflow before launch and raise any corrections promptly.

Account safety

Clients should keep passwords safe, use suitable device security and tell Yorkshire Digital quickly if they suspect unauthorised dashboard access.

Billing and cancellation

Payments, late payments and ending the service.

Setup and monthly billing

The setup fee is normally due before build work begins. Monthly billing begins when the website or lead-to-job system goes live, unless agreed otherwise in writing.

Late payment

If invoices are overdue, Yorkshire Digital may pause support, hosting, dashboard access or further work until payment is brought up to date.

Ending or changing the service

The £700 setup Lead-to-Job System is rolling monthly. The spread setup option has a 12-month minimum term before it continues at £99/month on a rolling monthly basis.

Offboarding

Export, transfer, domain movement, final backups, dashboard data deletion and any custom handover work are agreed as part of offboarding.

SEO and results

No honest SEO service can guarantee rankings.

Yorkshire Digital can improve website structure, content, technical setup and local search signals, but cannot guarantee specific Google positions, enquiry numbers, revenue, reviews, or the actions of search engines, competitors or visitors.

Ownership and data

Content, systems and customer data.

Client content

Client-provided text, photos, logos, business details and customer records remain the client's responsibility and belong to the client or their licensors.

Yorkshire Digital systems

Lead-to-job system code, templates, internal processes and reusable website components remain Yorkshire Digital's or its licensors' intellectual property unless agreed differently in writing.

Fair use

Support is practical and reasonable.

Support channels

Support is normally handled by email or agreed message channels. Urgent issues are prioritised, but response times may depend on workload and the type of issue.

Fair use

Monthly support and minor amendments are included on a fair-use basis. Repeated large changes, new features or project work may require a quote.

Liability

Yorkshire Digital will take reasonable care when providing services, but is not responsible for losses caused by inaccurate client information, third-party outages, missed client responses, or services outside the agreed scope.
