How Yorkshire Digital handles personal details.

This notice explains what personal data may be collected when you visit the website, send an enquiry, request demo access, become a client, or use a Yorkshire Digital CRM service.

What is collected?

Information you choose to send, such as name, email, phone number, business type, message, package interest, demo request details and project information.

Why is it used?

To respond to enquiries, provide demo access, discuss services, deliver client work, run the website, keep records, improve marketing where consent is given, and meet legal obligations.

Personal data

What information may be collected.

Enquiry details

Name, email address, phone number, business type, message, package interest, website details and information needed to understand your enquiry.

Demo access details

Name, email address, business type, consent record and the fact that demo login details were requested.

Client and project details

Business details, contact details, website content, CRM setup information, support requests, invoices, payment status and service notes.

Website and analytics data

If analytics cookies are accepted, Google Analytics and Meta Pixel may collect information about visits, pages viewed, device/browser data and marketing performance.

Payment information

Payment links and payment status may be handled through Stripe. Full card details are handled by Stripe, not stored directly on the Yorkshire Digital website.

Messages and emails

Emails, WhatsApp messages, support conversations and CRM-related notifications may be retained where needed to manage the relationship or provide the service.

Sharing

Who personal data may be shared with.

Yorkshire Digital does not sell personal data. Data is shared only where needed to run the website, provide CRM services, communicate, take payments, comply with law, or use agreed marketing/analytics tools.

Service providers

Hosting, database, email, payment, analytics, development and support providers. The main list is on the Subprocessors and Storage page.

Payment providers

Stripe may process payment information when payment links are used. Stripe's own terms and privacy information also apply.

Legal and professional support

Information may be shared with accountants, advisers, insurers, regulators or authorities where needed for legal, tax, dispute or compliance reasons.

Retention

How long information is kept.

Enquiries

Unsuccessful enquiries are normally kept for up to 24 months after the last meaningful contact, unless they need to be kept longer for a dispute, legal reason or active relationship.

Clients

Client records are kept while services are active and then for as long as needed for accounting, support history, legal claims and business records. Financial records may normally be kept for up to six years.

Marketing consent

Consent and opt-out records may be kept while marketing is active and for a reasonable period afterwards so requests not to be contacted can be respected.

CRM customer data

Data held inside a client's CRM is handled under the client relationship and the Data Processing Terms. Deletion or export is agreed as part of offboarding.

Marketing

Marketing choices are separate from service messages.

Operational messages needed to reply to an enquiry, send demo access, provide support, issue invoices or manage a project are not the same as promotional marketing. Marketing permission is handled separately. You can read more on the Marketing Consent page.

Your rights

Rights over your personal data.

Depending on the situation, you may have rights to access, correct, erase, restrict, object to processing, ask for portability, or withdraw consent. To make a request, email connor01kelly@gmail.com.
